How we collect, use, and protect your personal information.
1. Who we are
Gallery-The Spa (“we”, “us”, “our”) is a beauty salon and spa operating at 9-201 Morrissey Road, Port Moody, British Columbia, V3H 0E6, Canada. This policy explains how we handle personal information collected through our website, www.gallery-thespa.com.
We handle personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia’s Personal Information Protection Act (PIPA).
2. What we collect
Our website does not require you to create an account, and we do not sell anything online.
2.1 Job application form
The only place on this website where we ask for personal information is the application form on our Careers page. If you choose to apply, we collect:
- your name, email address, and phone number;
- the position you are interested in and your years of experience;
- your available start date;
- a link to your résumé, if you choose to provide one;
- anything else you write in the message field.
You provide this information voluntarily, and the form asks for your explicit consent before it is sent. Please do not include your Social Insurance Number, date of birth, government ID numbers, or other sensitive details in your application — we do not need them at this stage.
2.2 Information collected automatically
Like most websites, our hosting provider keeps standard server logs that may include your IP address, browser type, the pages you requested, and the date and time of the request. These logs are used for security and troubleshooting only.
We do not use analytics software, advertising pixels, or tracking cookies on this website. We do not build visitor profiles and we do not track you across other websites.
2.3 Contacting us directly
If you phone or email us, we will have whatever information you choose to share in that conversation. We use it only to answer you and, if you become a client, to provide the service you booked.
3. How we use your information
- Job applications: to review your application, contact you about it, and consider you for current or future openings.
- Enquiries: to respond to your question or booking request.
- Server logs: to keep the website secure and working properly.
We do not use your information for any other purpose without asking you first.
4. Service providers
We keep the number of third parties involved to a minimum. Those we do rely on are:
- Web3Forms — delivers the Careers form submission to our email inbox. Your submission passes through their servers on the way to us. See their privacy policy.
- Our web hosting provider — stores the website files and keeps the server logs described above.
- Google Fonts — serves the typefaces used on this site. Your browser requests the font files from Google, which means Google receives your IP address.
- Google Maps — the map embedded on our Contact page is loaded from Google and may set cookies in your browser. This is governed by Google’s privacy policy.
- YouTube — where we embed a video we use youtube-nocookie.com, YouTube’s privacy-enhanced mode, which does not set tracking cookies unless you press play.
Links to our Instagram and YouTube pages simply take you to those platforms, where their own privacy policies apply. We do not sell, rent, or trade your personal information to anyone.
5. Where your information is stored
Some of the service providers above operate servers outside Canada, including in the United States. While your information is in another country it may be accessible to the courts and law enforcement agencies of that country under their laws.
6. How long we keep it
- Job applications: up to 24 months from the date we receive them, so we can consider you for later openings. You may ask us to delete yours sooner.
- Emails and enquiries: for as long as needed to deal with the matter, and then a reasonable period for our records.
- Server logs: for a short period, as set by our hosting provider.
7. How we protect it
Our website is served over HTTPS, so information you send through the form is encrypted in transit. Access to application emails is limited to the staff who need it for hiring. No method of transmission or storage is completely secure, so we cannot guarantee absolute security — but we take reasonable measures appropriate to the sensitivity of the information.
8. Your rights
Under PIPEDA and PIPA you may:
- ask what personal information we hold about you and request a copy;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information, subject to any legal obligation we have to keep it;
- withdraw your consent at any time (this will not affect anything done before you withdrew it).
Email portmoody@gallery-thespa.com and we will respond within 30 days. We may need to verify your identity before acting on a request.
If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner for British Columbia.
9. Children
This website is not directed at children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has sent us personal information, please contact us and we will delete it.
10. Changes to this policy
If we change this policy we will post the new version on this page and update the date at the top. Please check back from time to time.
